Tidal River Christian Camp Board of Directors
October 26, 2019
I. Opening President Patrick Keller called the meeting to order at 9:50 AM and Vice President Tim Tarbet opened the meeting with a prayer.
II. Roll Call A. Board Members in Attendance Matt Chavez, Dan Cummings, Patrick Keller, Rob Melillo, Jeremy Sanzone, Tim Tarbet, John Wooding
Others in attendance Christy Sanzone, Erin Sanzone, Deanna Chavez
III. Minutes from Previous Meeting Copies of the September7th meeting were distributed John Wooding motioned to accept the minutes. Rob Melillo seconded the motion. The motion passed with Jeremy Sanzone abstaining since he was not finished reading them.
IV. Treasurer’s Report Christy Sanzone has prepared an financial overview of the 2018 and 2019 camping seasons and a budget proposal for the 2020 camping season. The 2019 camping season had a total of 109 camper registrations for the 2 weeks of camp that ran. The 2018 camping season had a total of 174 camper registrations for the 4 weeks of camp that year.
There was no reported change in the Checking account and Savings account balances from the last meeting..
John Wooding made a motion to accept the treasurer’s report. Matt Chavez seconded the motion. The motion passed.
V. Old Business A. 2020 Camping Season discussion continued from last meeting 1. No Board Member is willing to see Tidal River Christian Camp dissolved. 2. John Wooding motioned “All non-board members must have a volunteer form completed to serve at camp each year.” Jeremy Sanzone seconded the motion. The motion passed. 3. Camp Bethel has agreed to allow us to start camp on Sunday, July 5, 2020. 4. John Wooding motioned that TRCC operate 4 weeks of camp for the 2020 Camping Season. Tim Tarbet seconded the motion. The motion passed.
VIII. New Business A. Erin Sanzone offered some questions for the board to consider 1. Are parents seeing value in camp? 2. Are parents looking for things that offer more than just Bible? 3. Can we offer a longer camp or another aspect to camp such as skill development opportunities? B. What should the 4 weeks of camp look like? 1. Option 1: Week 1 and Week 2 as Junior Weeks; Weeks 3 and Week 4 as Senior Weeks 2. Option 2: Bridge week scenario a. Week 1 and 2 run as traditional junior weeks. b. Week 3 would be opened up to campers one year younger than currently done to allow campers to transition between junior and senior weeks and see friends who just moved up 1. Camp would run as a normal senior week 2. There would be opportunities to break out younger and older campers into 2 different groups to focus on occasional age appropriate topics. 3. Rob Melillo and John Wooding agreed this warrants further thought and would be willing to co-direct this session with John taking opportunity to work with older and Rob taking opportunity to work with younger.
3. Due to time constraints regarding this topic further discussion was tabled close to 12:30 PM C. Lead/Head Volunteers for 2020 Camping Season 1. Orientation Weekend: Deanna Chavez 2. Registration: Jeremy Sanzone 3. Directing Staff: Entire TRCC Board 4. Arts and Crafts: Kim Melillo and Renee Tarbet. (Renee will be lead person regarding staffing) 5. Bible Class a. Junior Weeks: Bud Fenner b. Senior Weeks: Tim Tarbet 6. Food Purchasing a. Meals: Bill McKay and Dan Cummings b. Canteen: Matt Chavez 7. Counselors, C.I.T’s, and Activity Directors: Deanna Chavez will take lead role and chair the counselor recruitment committee. 8. Donations: Patrick Keller 9. Kitchen Staff: John Wooding a. Matt Chavez will head up week 1 b. Troy Matthews Sr. will head up week 3 c. Dan Cummings will head up week 4 10. Life Guard Recruitment: Matt Chavez 11. Nurse Recruitment: John Wooding 12. Local Primary Physician: Patrick Keller 13. Insurance: Christy Sanzone 14. State Licensing: Patrick Keller 15. Cori/Sori: Rob Melillo will coordinate with Patrick Keller 16. Promotions, Advertising, Printing, Mailings: Matt Johnston 17. Website and Social Media: Matt Johnston 18. Last Day of Camp Clean-up: Tim Tarbet and Matt Johnston D. Date and Location of next meeting: Saturday, January 11 in Waterbury
IX. Nominations and Elections of Board Members Due to the anticipated absence of a quorum with 2 members needing to leave dropping membership attendance to 5, Dan Cummings motioned to postpone elections till the January Board Meeting. John Wooding seconded the motion. The motion passed with 6 yes (Chavez, Cummings, Keller, Melillo, Tarbet, Wooding) and 1 no (Sanzone).
X. Closing Due to an absence of quorum (Rob Melillo and Tim Tarbet needing to leave for family reasons) the board adjourned at 12:40 PM with a prayer led by John Wooding.
